AI implementation

How to choose your first AI workflow

A first AI project should be narrow enough to understand and useful enough to matter. Pick one task with a clear beginning and an observable result.

Look for friction the team can describe.

Ask the people doing the work where they repeat the same steps, wait for information, or spend time passing a request between teams. These observations are a better starting point than a broad instruction to automate the business.

Make a short list of candidate tasks. For each one, describe the current process in plain language. Include how often it happens, who handles it, and what usually makes it difficult. Use your own operating records instead of guessing at the volume.

Compare clarity, usefulness, and complexity.

A task can be frequent without being a good first project. Consider whether the inputs are understandable, the rules are stable, and a person can review the result. If the process changes every time, simplify the scope before treating it as a repeatable workflow.

For example, collecting the reason for an inquiry may be a more contained starting point than managing an entire customer relationship. The right choice depends on your business, team, and systems—not a universal list of popular use cases.

Choose the owner before the launch.

Someone needs to answer questions, approve the expected behavior, and review what happens during the pilot. Give that person a defined role and time to participate.

Agree on a small set of success measures and a review date. Keep a written list of what the first version includes. That makes it easier to learn from the project without letting every new idea become part of the initial scope.

TAKE IT INTO THE BUSINESS

A practical check.

  • One clearly described task.
  • One person accountable for the pilot.
  • A small set of measurable outcomes.
  • A documented route back to a person.
