How to measure whether AI is helping your business

Measure the business outcome you intended to improve. Activity counts become useful when they are connected to a clear definition of success.

Start with the current process.

Before changing a workflow, record how it works today. Use a representative period and define the measurements consistently. Depending on the task, you might review response time, unresolved inquiries, completed handoffs, or time spent on rework.

Choose measures the team can explain. A number without a shared definition can create more confusion than insight. For example, decide whether “completed” means a conversation ended or the customer’s next step was actually handled.

Look at quality alongside volume.

More conversations do not automatically mean better service. Review whether the information was useful, the next action was correct, and a person needed to repair the result. Include examples that did not go as planned.

Compare like situations where possible. If staffing, demand, or the process itself changes, note that context. Treat the results as evidence for a business decision, not as a reason to attach every improvement to one technology change.

Account for the work around the workflow.

Include the team’s time reviewing results, making changes, and handling exceptions. Implementation costs and ongoing support belong in the discussion alongside any time saved.

Set a regular review with the workflow owner. Decide what the evidence suggests: continue, refine the scope, involve people earlier, or pause. A useful measure helps the business make one of those decisions with greater clarity.

TAKE IT INTO THE BUSINESS

A practical check.

  • Define a comparable baseline.
  • Measure quality as well as activity.
  • Track rework and human review time.
  • Use results to decide the next action.
